Program Overview

Hereford Snow Club is a Baltimore County Recreation and Parks program run through the Hereford Zone Parks & Rec Council (HZRPC).  Therefore, if activities are closed for Baltimore County then Snow Club MUST be cancelled. The Hereford Snow Club is for middle school and high school aged students. This program runs January – February taking weekly trips from HHS to Ski Liberty and Ski Roundtop. The club is normally scheduled to run on Wednesdays with about 3 trips to each resort.  We are also including a Friday trip to Whitetail for 2024. The cost for Snow Club 2024 is $240.00 (for 6-7 trips) and DOES NOT include the lift passes.

 

Lift Passes for 2024

Snow Club does NOT include lift passes for any of the trips. Members are required to purchase their own Epic Passes directly through Vail Resorts. The recommendation is for the Northeast Value Pass, but Members are able to purchase any valid lift pass through Vail Resorts. The link to buy passes is below. The Epic Passes are valid at all four resorts that Snow Club takes trips to this year. We recommend buying the passes ASAP because Vail increases the prices as the season gets closer and eventually stops selling them (usually in December.)

EQUIPMENT RENTAL POLICY for 2024

Renting equipment at the resorts is very time consuming and can be challenging to get the correct fit. Snow Club will no longer be able to have a chaperone assist Members if they choose to rent at the resorts. We strongly recommend that equipment be rented from World Cup or any other ski/snowboard shop so that Members can save time at the resorts, have proper fitting equipment and be able to use the equipment all season long.

 

Equipment Rentals from World Cup

The Hereford Snow Club is partnering with World Cup Ski and Cycle again this year for some great equipment rentals and services for our Members! They will be at the October 19, 2023 meeting (for fittings and equipment tuning drop off)! They will have an equipment drop off on December 5, 2023 (HMS cafeteria from 6:30-7:30pm) so that Members get their equipment in time for our first trip. They will also schedule an equipment pick-up time at the end of the season to get the equipment back! It's a super convenient option for our Members. 

Junior ski or snowboard packages are $199 for the season and Adult ski or snowboard packages are $269 for the season. The package option is determined by SIZE of the renter and not their age.  This can will be paid directly to World Cup on the fitting night.

This is a GREAT way for the kids to skip the rental lines at the resort and enjoy more time on the slopes!  Plus, they have the equipment all season long and can use it anytime they want at any mountain!

World Cup will also tune or wax your privately owned equipment. Drop it off at the October meeting and then pick it up at the equipment drop off night.

 

School Delays and Closings and Canceled Trips - Trip Policy

If there is a 1 or 2 hour delay in the Hereford Zone's school opening time, our trip will still take place. Equipment drop off will also be delayed by 1 or 2 hours.

If schools or the resorts are closed, our trip for that day will be canceled. We have scheduled in 1 make up date for Snow Club.  Hopefully, this will ensure that we get our 6 or 7 trips in this year, but only 6 are guaranteed.

If after school activities are cancelled for that day due to bad weather, Hereford Rec Council's policy is that Snow Club must not go on that day's trip. If there is any bad weather in the forecast, we may make the decision to cancel the night before Snow Club days whenever possible. Unfortunately, it costs money to cancel the buses on the day of the trip, so we have to be cautious and cancel even if weather may not end up being an issue.  We have scheduled in 1 make up date for Snow Club.  Hopefully, this will ensure that we get our 6 or 7 trips in this year.

If after school activities are cancelled due to something other than bad weather (ex: power outage), we will determine if we are going on that trip and communicate it via email ASAP.

 

Registration Dates

Please Note:  Registration is on a first come first serve basis and there are limited spaces!  Typically, Snow Club registration is filled before lunch on the first day of registration.  Please log on early if you want to guarantee your child a spot.

Registration on Stone Alley Opens 9/29/23 at 12:01am & closes 10/8/23 at 12pm 

ALL NEW MEMBERS (including new Members that had a sibling in Snow Club in prior years) MUST attend the MANDATORY in person New Member Meeting:  October 19, 2023 in the Hereford Middle School cafeteria.  This is the time that you will get all the info about how the club works, required equipment, timing, etc. This is also the night that World Cup will size anyone who wants to rent equipment from them.

New Member Meeting / Equipment Fitting 

Our meeting will be on October 19, 2023 at HMS from 7pm - 8pm.  This will be the ONLY time that New Members can get the info they need and that middle schoolers can pick up their bus passes. This meeting is MANDATORY for New Members (even if siblings have been in the club before) and at least one parent must be present. New Members not in attendance will not be allowed to attend the first trip.

 

Middle School Bus Pass Pick Up

Bus passes for Middle School students will be available during the New Member Meeting. This is the ONLY time you will be able to get a bus pass. If you are a returning Member, you do not need to stay for the meeting and can have someone else grab your bus pass too. It is only New Members that are required to stay for the meeting.

 

Registration Process

Registration and payment for new and returning Snow Club Members will be on a first come first served basis through the Stone Alley website. 

1. Registration through Stone Alley - this guarantees your spot in Snow Club and the fees paid are for costs that Hereford Rec pays.

2. Lift passes: Epic Passes are bought directly from Vail Resorts at the link above. 

BOTH ARE REQUIRED! Every student registering for Snow Club through Stone Alley will need to buy an Epic Pass prior to the first trip. Anyone not buying their Epic Pass prior to the first trip will not be able to ski or ride and will not get a refund for Snow Club.

After the registration is full, each person that registers will be put on a waiting list through Stone Alley in order of registration date and time.  People on the wait list will not be asked to pay until they are moved off the waiting list.  If you are on the wait list, you will be notified by 10/6/23 whether your child has gotten a spot on the bus.  At that point you would go onto Stone Alley and submit payment no later than 10/7/23 at 12pm. After that time, a late fee will be added to the registration.

 

Notification Policy

Snow Club is required to submit a student count to each resort the morning of each trip. In order to comply with this, Snow Club members will be required to notify Lia Arnold by text or email no later than 7:30am if they are unable to attend that day's trip. If a member goes home from school early because they are sick, Snow Club members will be required to notify Lia Arnold by text or email no later than 2:30pm if they are unable to attend that day's trip.  Any lack of timely notification will result in no less than missing another trip up to removal from Snow Club.

 

Equipment Drop Off

Members must drop off their equipment at the turf lot the morning of every trip between 7am-8am. ALL equipment must be in bags. We cannot accept any equipment that is not in a bag (that includes skis, snowboards, boots, helmets, etc.) Luggage tags are encouraged and we have a limited supply available to Members at no cost. Equipment drop off ends promptly at 8am. In the event of a two hour school delay, equipment drop off will also be delayed two hours. All equipment is stored in a locked storage unit during the school day.

Trip info:

- Open to Snow Club Members and their family members who are in 6th grade or older. This includes siblings and parents.

- Registration will take place through Stone Alley and Snow Club Members will get priority registration. They will be able to register before it’s opened up to the Hereford community. Members can register on 11/10/23. Registration will open to the public on 11/12/23 if space allows. -  Registration includes roundtrip transportation on charter buses and 2 nights hotel room in the resort lodge that is within walking distance to the slopes.

- All hotel rooms will have 2 queen beds and will house four, same gender, participants (quad occupancy). The only gender exception will be for immediate family members when a parent pays to participate (ex: mom and son). All participants will be guaranteed to have at least one of their preferred roommates in their room, but they can request a group of four. Every effort will be made to house middle schoolers and high schoolers in separate rooms. There is an option for 2 person rooms for 2024 (double occupancy). The cost will reflect that option.

- Adult chaperones and nighttime security to ensure curfew compliance (10:30pm in room).

- Participants can ski/board Thursday evening, all day Friday and Saturday morning/afternoon.

- The cost does NOT include lift tickets or any meals.

-  Snow Club reserves the right to cancel this trip and fully refund registration fees if our minimum registration isn’t met.

- Cost is $370/person for quad occupancy and $580/person for double occupancy. 

- There is a required Zoom meeting on 12/4/23 at 8:30pm. Both the participant and their parent must attend. Failure to attend will result in removal from the trip with no refund. 

- Registration link will be emailed to Snow Club Members first and then posted publicly if space remains.

The resort hotel is within walking distance to the slopes. There are restaurants on site along with an indoor pool, bowling lanes and indoor mini golf. Seven Spring is a safe, family friendly resort that offers great skiing and snowboarding as well as resort activities. This will be another fun trip!
